    About this job

    As the Administrative Officer at The Gap State High School you will contribute to the effective and efficient administrative management of the school by providing relevant and timely administrative support to the Principal and Business Manager. You will work within existing guidelines to provide basic resolution of problems by reference to established procedure, consulting the Principal or Business Manager for matters that are more complex or non-routine.

    There are two positions available for this vacancy, one will focus on Accounts Payable and the other Front Reception. Please see below the responsibilities of each role.

    Accounts Payable

    You will have responsibility for leading the following activities and undertaking the following key tasks:

    • Administer day to day financial matters - process payments and purchase orders including student transport for sports, excursions and other school activities.
    • Corporate Card Reconciliations, Excursion Profit and Loss reconciliations.
    • Maintain the school key register.
    • Autonomy to perform a variety of day to day administrative and support services that are routine in nature and directed by the Principal or the Business Manager.
    • Undertake routine activities including reception (telephone and counter enquiries), arranging appointments and general administration andmaintaining school records.
    • Input and export financial input and export financial data to/from OneSchool.
    • Communicate with internal and external stakeholders (e.g. school and departmental staff, parents, students, and community members); provide information and advice in line with school policies and/or Principal directives; and demonstrates empathy, emotional understanding and support
    • Apply day to day independence in determining work schedules and sequences within a well-defined environment with regular managerial supervision.

    Front Reception

    You will have responsibility for leading the following activities and undertaking the following key tasks:

    • Autonomy to perform a variety of day to day administrative and support services that are routine in nature and directed by the Principal or the Business Manager.
    • Undertake routine activities including reception (telephone and counter enquiries), arranging appointments, correspondence and general administration; maintaining school records, such as incident reports. Late arrival and early student departures; processing incoming and outgoing mail and email.
    • Input and export financial data to/from OneSchool.
    • Administer day to day financial matters including Accounts Receivable tasks of receipting, banking and follow-up on late payments as directed by the Business Manager.
    • Assist with organising school maintenance by preparing and maintaining accurate records of Work Access Permits for Contractors as requested by the Business Manager.
    • Carry out first aid duties as required.
    • Prepare reports, forms and notices for student daily newsletters.
    • Communicate with internal and external stakeholders (e.g. school and departmental staff, parents, students, and community members); providing information and advice in line with school policies and/or Principal directives; and demonstrate empathy, emotional understanding and support.
    • Apply day to day independence in determining work schedules and sequences within a well-defined environment with regular managerial supervision.

    Demonstrated skills for both roles may include:

    • Highly effective organisational, time management and workload management skills.
    • Proven ability to communicate effectively with students, parents, staff and the wider community.
    • Demonstrated knowledge or sound understanding of working in a school environment. 
    • Ability to work independently to achieve quality outcomes. 
    • Ability to work effectively in a team environment. 
    • Knowledge of OneSchool an advantage.
    • Demonstrated knowledge of, or the ability to quickly acquire knowledge of the Department of Education policies, practices and procedures used in schools.
    • A current First Aid Certificate may be an advantage.
